Application to Graduate or Participate in Commencement
Graduating Students
Candidates for degrees must have met all requirements for the degree (see University Catalog).
Formal applications for graduation must be filed in the Office of the Registrar by the graduation application deadline in the term in which the candidate's plan to graduate. A separate graduation application must be submitted for each degree type the student is completing, even if both degrees are being earned during the same term.
The graduation application is available online and through the Student Services link within Self-Service on the Xavier Student Hub.
A one-time $75 graduation application fee per degree is charged when a student applies for graduation. In addition, a $50 late fee is charged if the application is received after the published application deadline in any term. If degree requirements are not completed by the end of the semester for which the student has applied, the student must reapply for graduation by the application deadline in the next term in which he/she will complete degree requirements. The student is NOT charged the $75 graduation application fee when re-applying. The $50 late fee WILL be assessed, however, if appropriate.
Please refer to the Xavier Bookstore website for cap and gown information and purchases.
Non-Graduating Students
Students who know they will not complete degree requirements, but who wish to participate in the May commencement ceremony may submit a graduation application to participate if they are in good academic standing and if:
- As an undergraduate student, they are within 12 hours of completing his/her degree by the graduation date.
- As a graduate student, they are within six hours of completing his/her degree by the graduation date.
Participants will be charged the $75 graduation application fee when they submit the graduation application, as well as the $50 late fee, if appropriate.
There is a special section on the graduation application to indicate your actual graduation date.
The deadline to submit a graduation application as a participant is the Spring graduation application deadline.
Please refer to the Xavier Bookstore website for cap and gown information and purchases.
Diplomas
All students who earn an associates, bachelor’s, and graduate degree will receive a physical diploma three to four weeks after the conclusion of the end of term processing for the term in which they graduate. Degrees are conferred and reflected on the official university transcript after the approval and verification of all degree requirements by the academic department and Dean's Office of the student's college.
Students have an option to request a “electronic” verifiable CeDiploma at an additional charge. Please visit the “Certified Electronic Credential Overview” page on Xavier University’s Office of the Registrar webpage to take advantage of this option. All of Xavier University’s diplomas are produced and shipped by third party vendors who specialize in diploma production and fulfillment.
Diploma Reissues are available through the Replacement Diploma Request Form. Please note that all replacement diplomas will be issued in the diploma format being used by the University at the time of the request and will be notated with the current signatures of the President of the University and Chair of the Board of Trustees. For paper replacement diplomas and Legacy CeDiplomas, please allow 3-4 weeks for processing and production.
